The Payroll Information Specialist will review in-house employee’s timesheets and escalates all discrepancies to the Payroll Supervisor. Heavy emphasis is placed on researching and verifying all hours on the Data Collection Engineer Daily Logs and entering the Data Collection Engineer hours into the ADP ez-LaborManager payroll system. The Payroll Information Specialist researches which project The Data Collection Engineer’s hours pertain to and codes them accordingly. The Payroll Information Specialist determines Per Diem to be paid to the Data Collection Engineers and enters into ADP Supplemental Earnings on timesheet bi-weekly. He/She must maintain weekly tracking spreadsheets to determine all outstanding Daily Logs and unexplained time on the Daily Logs and escalate all issues of unexplained time to the Payroll Supervisor. The Payroll Information Specialist may assist with the distribution of paystubs bi-weekly. He/She assists Payroll Supervisor with the training of the Data Collection Engineers between drives and the preparation of spreadsheets and reports as needed by the Payroll Department.
Primary duties and responsibilities (but not limited to):
Review in-house hourly employee’s timesheets for the bi-weekly payroll period and contact the employees about any discrepancies for half of the employees per specialist.
Enter adjustments from “Time Correction” forms into in-house hourly employee’s timecards.
Collect the total amount of work from home hours for each in-house employee per pay period and send them to the Payroll Manager.
Notify Payroll Manager of discrepancies in the timesheets that are not adjusted or corrected by the hourly employees prior to the date payroll is submitted to ADP.
Review, research, and verify Data Collection Engineer Daily Logs for accuracy. (heavy emphasis)
Enter Data Collection Engineer hours from Daily Log into ADP timesheet (half of the Data Collection Engineer’s per specialist).
Research which project the Data Collection Engineer’s hours pertain to and code them accordingly for job costing
Research if employees are traveling in a “Special State,” determine the length of time spent in that state, and code hours accordingly on ADP.
Determine and enter Per Diem and Phone Allowance into ADP Supplemental Earnings for Data Collection Engineers.
Serve as first point of contact for Data Collection Engineers with questions in regards to hours entered into ADP and send out emails to Data Collection Engineers when stops on Trimble are not explained on Daily Logs.
Maintain a weekly tracker of Data Collection Engineers who have not submitted logs or have not answered emails about unexplained times. Escalate all unresolved issues to Payroll Manager prior to date payroll is submitted to ADP.
Maintain per pay period attendance tracker for Data Collection Engineer’s.
Assist in stamping and mailing Data Collection Engineer paychecks and paystubs, and distributing in-house employees’ paychecks and paystubs, when needed.
Email missing hotel records to project support
Email Payroll Team Payroll Prep Report bi-weekly
Update Abnormalities/Trends Spreadsheet bi-weekly to send to Operations Supervisor.
Send out missing hand swipes for in-house employees
Check Data Collection Engineer timesheets for past midnight hours
Participate in periodic training of the Data Collection Engineer’s when they are in the office between drives.

Education and experience requirements:
Associates Degree in Accounting or 1-year experience with payroll processing preferred.
Excellent computer skills including creating and maintaining Excel spreadsheets.
Problem solving, critical thinking, and attention to detail.
Good verbal and written communication skills.
Team player and good interpersonal skills.
Must be willing to comply with GWS’s drug testing policy.
