Manage payables process for outside vendors and employee credit cards including the issuance of payments and documenting transactions in accounting software. Support month-end process and reconciliations as needed.
Essential Job Duties:
Manage accounts payable using QuickBooks Enterprise and Bill.com
Establish and maintain relationships with all key vendors and internal clients
Reconcile payments and invoices for key vendors to promptly resolve any questions or issues
Manage employee reimbursement process. Enforce all company standards and ensure proper documentation for all reimbursements
Partner with the finance team to anaylze and improve workflow processes
Ensure bills are paid in a timely and accurate manner while adhering to departmental procedures and industry standards
Compare purchase orders, prices, terms of payment, and other charges. Work with vendors to adjust as necessary
Support the Assistant Controller and Director of Finance and Administration with month-end reconciliations as assigned
Support the Assistant Controller with sales tax filings as assigned
Support the Accounts Receivable team if needed
Cooperate with Company management by performing any other duties as assigned
To perform this job successfully, an individual must be able to perform each essential duty effectively. The requirements are representative of the knowledge, skill, and/or ability required
High school diploma or equivalent
Must have 2+ years' experience using QuickBooks Desktop
1+ years' experience using Bill.com
Possess strong attention to detail
Ability to solve basic mathematic equations
Proficiency with Office Suite with an emphasis on Excel
Must exhibit the utmost discretion in all correspondence and communications
Required to be vaccinated against COVID-19 or qualify for a medical or religious exemption
A qualifying background check and drug test are also required
Available to work Monday-Friday business hours
2-year degree in Finance or Accounting preferred
Experience working with Paylocity or similar payroll vendor software
Physical Demands and Work Environment
Communicates through telephone conversations, face-to-face interactions, texts, and email
The ability to lift and carry up to 10lbs
Sitting for long periods; occasional bending, kneeling, stooping, and crouching
Read printed materials and a computer screen
The stamina needed to maintain attention to detail despite interruptions
Must possess the mobility to work in a standard office setting and to use standard office equipment, including a computer, keyboard, and telephone
