Manager, PCSP Administration


Seeking a professional well adept leader to coordinate all administrative and project support for Primary Care and Subspecialty Pediatrics (PCSP) initiatives and in support of the Senior Vice President (SVP).   Must be able to prioritize and assign work activities to meet project deadlines and deliverables.


Some responsibilities include: 

  • Ensure timely administrative support to SVP. Evaluate meeting commitments and travel arrangements to effectively align with work priorities. Compile itineraries, presentations, agendas, and other necessary documents in preparation for meetings.
  • Oversee and enhance communication processes and standard operating procedures to ensure effective and efficient administrative processes and workflow within the PCSP.
  • Supervise and mentor assigned staff and assign key project activities based on PCSP workflow and timelines. Ensure adequate cross-training of administrative team to maintain sufficient staffing support of PCSP projects and activities. Encourage a work environment that promotes inclusion and belonging of all staff. Support ongoing staff development, help set objectives, and evaluate performance, and promote and enhance staff capacity in skills necessary to achieve goals. Ensure staff operate in a fiscally prudent manner, maintain confidentiality, and operate with the highest ethical standards.
  • Oversee and manage department financial processes.


Qualified candidates will possess:

  • Bachelors’ degree in nonprofit management, communications, business administration, or related discipline required, or an equivalent combination of relevant education and work experience.
  • At least three years’ related project coordination and/or administrative experience required, including budget development and monitoring; processing expenses and other financial transactions; meeting planning; managing project components between multiple internal and external constituents; drafting presentation documents, correspondence, and other communication materials; and maintaining web and collaboration sites.
  • Experience supervising staff or working as a team lead in coordinating workflow required. Experience in a medical association and working with federal grants highly desired.
  • Strong technical acumen essential with proficiency in MS Office (Word, Excel, PowerPoint) and web maintenance software (eg, Episerver) and document sharing applications (eg, SharePoint) essential, and the ability to learn and apply new technologies; experience with budgeting software (eg, Acumatica) and virtual meeting platforms (eg, WebEx, Teams) preferred.
  • Excellent writing, organizational, interpersonal, problem solving, leadership, and communication skills required.
  • Must be able to take initiative, pay close attention to detail, maintain confidentiality, manage multiple priorities simultaneously, adapt to changing priorities, lead teams, collaborate effectively with various internal and external constituents, and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion.
  • Knowledge of medical terminology a plus.
  • Some overtime, weekend work, and travel required.


Hybrid work environment of 40% of work time in the office per month.
