I. General Job Description

This position will be responsible for processing Accounts Payable transactions through DocFinity imaging system, as well as responding to internal and external inquiries, and assisting with some OEM Statement (PACCAR/Volvo) reconciliations.

Responsibilities

· Receiving and distributing Accounts Payable related mail (paper and electronic) daily.

· Reviewing and Processing (data entry) of invoices daily.

· Reviewing, auditing and obtaining corresponding approval for payment.

· Preparing weekly Accounts Payable check requests.

· Auditing invoices against purchase orders and researching discrepancies.

· Investigating and researching challenges that vendors or purchasing agents have with obtaining payment for invoices.

· Answering internal accounts payable inquiries and providing proper communication.

· Monitoring vendor accounts to ensure payments are applied accurately and timely.

· Assisting with the monthly and annual Accounts Payable close processes.

· Cross training and multi-tasking to support current needs of the department.

· Assisting with the preparation and analysis of various summary accounts.

II. Minimum Job Qualifications

· 18 years of age.

· Associate’s degree (A.A.) or equivalent from two-year College or technical school; or one year of related work experience and/or training; or equivalent combination of education and experience.

· Fundamental understanding of Microsoft Office products, such as Excel, Work, and Outlook.

· Excellent customer service, organization, and communication skills.

III. Desired Job Qualifications

· Full cycle Accounts Payable processing experience.

· Knowledge of ERP systems.

· Demonstrated proficiency with data entry and ten-key.

IV. Mental Capability Requirements

· Organization: Ability to organize and prioritize work schedule on short-term basis (more than 1 month).

· Reasoning & Decision Making: Ability to apply common sense in performing job.

· Mathematics: Ability to add, subtract, multiply, divide, record, balance, and check results for accuracy.

While performing the duties of this job, the employee is not exposed to weather conditions. The noise level in the work environment is usually moderate.
