Job Description

Would you like to work at one of the nation’s most respected, mission-driven organizations?  If so, the American Academy of Pediatrics (AAP) is seeking a Member Services Dues Specialist to provide support and subject matter expertise as it pertains to AAP membership dues. This person will be responsible for processing and managing membership aged dues receivables, processing/approving dues payments, updating membership records and invoices, and the dues installment payment processes.


Hours: 8:00am – 4:30pm, with a 1-hour lunch. These hours can be shifted, if desired to start earlier or later.


Qualifications needed:

  • Bachelor’s degree in business, communications, or related discipline required or an equivalent combination of relevant education and work experience.
  • At least two years’ related general administrative experience required, including some experience with accounting and working with databases.
  • Experience in a membership association and with project management and process improvement initiatives preferred.
  • Excellent analytical, interpersonal, diplomacy, organizational, customer service, and verbal/written communication skills required.
  • Strong technical acumen essential with proficiency in MS Office, experience using databases, and the ability to learn and apply new technologies; experience with virtual meeting platforms (eg, WebEx, Teams) and CMSs (eg, netForum) preferred.
  • Must be detail oriented and able to manage multiple priorities simultaneously within established deadlines, work both independently and as part of a team, take initiative, collaborate effectively with various internal and external constituents, and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion.
  • Some overtime, evening/weekend work, and travel may be required.


Some tasks include:

  • Manage the mass cancel process, including reviewing the monthly aged receivable report for purposes of clearing out the membership proformas and invoices.
  • Provide guidance to staff in the processing of exception and dues batches and assist with payment processing as necessary. Process weekly and annual membership batches, including creating, monitoring, and closing batches.
  • Troubleshoot with members as necessary with issues related to their dues invoices including credits, payment processing, returns or refunds.
  • Manage the membership dues installment program enrollment processes.
  • Assist in the implementation and management of member operations enhancements, including board recertification and auto renewal.
