Job Description

The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s health, is seeking a detail-oriented individual to support and track our joint and direct abstract processes. This position will ensure all accreditation files are in full compliance with Accreditation Council for Continuing Medical Education (ACCME) Criteria and Standards for Commercial Support, and other standards and policies. In addition, this role will assist with data-entry and developing databases that support the accreditation function of the Continuing Medical Education (CME)/Continued Professional Development (CPD) program.  


As part of the Education department, this role will have a hybrid working arrangement of 40% on-site at our Chicago suburb headquarters in Itasca, IL. Some tasks include: 

1.         Administer the AAP joint and direct providership abstract submission process for AMA PRA Category 1 Credit™, NAPNAP Credit, CE Credits and/or Maintenance of Certification (MOC) Part 2 Points by interviewing/assisting applicants; analyzing abstracts; distributing abstracts for review and incorporating review feedback as appropriate; ensuring full compliance with AAP, CME, MOC and CE standards, policies, and requirements; and answering accreditation and credit questions. 

2.        Enter joint and direct provided activities in electronic systems/databases, including assigning the appropriate credits and tracking all income and expenses. 

3.        Monitor accreditation and credit requirements, maintain current versions of all required documentation and forms, ensure distribution to all joint/direct providership applicants, and verify appropriate implementation. 

4.       Ensure receipt and review of all AAP CME activity accreditation files by established deadlines to ensure files are complete and comply fully with AAP, CME, MOC and CE standards, policies, and requirements. Follow-up with appropriate individuals regarding issues or improvements, as needed. 

5.        Provide ongoing review and improvements of the AAP joint/direct providership abstract process and system. 

6.       Review web-based CME activities and CME-related information on websites prior to launch and ensure compliance with AAP CME, CE, and MOC standards, policies, and requirements. Follow-up with appropriate individuals regarding issues or improvements, as needed. 

7.        Provide education, assistance, and direction to AAP staff, chapters, districts, and others to create educational products that will meet standards for CME, CE, and MOC. 

8.       Assist with the compilation of information and data for reaccreditation and activity file purposes (eg, self-study, engagement with the environment, AAP Board of Directors reports, annual COCME program review, etc.) 

9.       Verify and data enter CME, CE, and MOC activity information in database for ongoing compliance with data reporting requirements.

10.    Assist with the development of all electronic systems/databases that support the accreditation function of the CME/CPD program to ensure sustainability and functionality. Assist with the generation of reports and queries.  Coordinate the interface of web-based CME disclosure and evaluation systems and other electronic systems related to CME accreditation, as needed.   

11.     Provide onsite support at assigned meetings as needed. 


Qualifications Needed:

1.         Bachelor’s degree in business, education, communication or other relevant discipline or an equivalent combination of relevant education and work experience required. 

2.        At least three years related general administrative experience required, including database management. Experience working on CME or accreditation activities, including ACCME Accreditation Criteria and AMA PRA standards preferred. 

3.        Must be detail oriented, able to manage multiple priorities simultaneously and within deadlines, take initiative, work both independently and as part of a team, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion. Excellent critical thinking, organization, interpersonal, time management, customer service, and verbal/written communication skills essential. Strong technical acumen essential with proficiency in MS Office, database maintenance, and the ability to learn and apply new technologies; experience with Adobe Pro and virtual meeting platforms (eg, WebEx, Teams) preferred.  Some travel, evening/weekend work, and overtime may be required.
