Job Description

The nation’s leading advocacy organization, the American Academy of Pediatrics (AAP), seeks a Meeting Manager with excellent hotel contract experience and with a team player attitude to join our Convention & Meeting Services team.  This individual will manage the planning and implementation of all headquarter hotel meeting activities for the AAP National Conference and Exhibition (National Conference); provide leadership and guidance for all vendors and staff at the headquarters hotel; and oversee the hotel contracting and logistical planning and execution for assigned Continuing Medical Education (CME) courses.


Qualified candidates will possess the following:

·       Bachelor’s degree in hospitality management, communications, business, or related field, or an equivalent combination of relevant education and work experience required.  Professional designation (CMP, CAE) preferred.

·       At least five years’ related meeting planning experience required, including hotel logistics, managing meeting specifications, contract negotiation, meeting management, vendor management, staffing, and budget management. Experience with city-wide conventions and working in an association preferred.

·       Must be able to manage multiple priorities simultaneously, pay close attention to details, lead teams, take initiative, independently manage workload, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion.

·       Excellent communication, interpersonal, negotiation, diplomacy, organizational, creativity, leadership, and project management skills required.

·       Strong technical acumen essential with proficiency in MS Office and the ability to learn and apply new technologies to enhance meeting management and the attendee experience; knowledge of web collaboration platforms (eg, SharePoint) and virtual meeting platforms (eg, WebEx, Teams) preferred.

·       Frequent travel and evening/weekend work required.
