We seek a highly organized, detail-oriented Marketing Operations Coordinator to support the Marketing Leadership Team in running our sophisticated, high-volume department. The successful candidate will have a demonstrated ability to manage the administrative and operational needs of a large team that has both day-to-day business demands and drives Firm strategic priorities. The Marketing Operations Coordinator will work across the full Business Development, Communications and Marketing team to ensure collaboration and coordination on Firm projects and support the team's operational efficiency. This will include tracking various initiatives, attending meetings to take notes and distribute next steps. This role will also collaborate with both firm professionals and their administrative staff as well as members of other departments on administrative requirements, including budget requests and management. This position reports to the Director of Marketing and supports the Marketing Leadership Team.
Support the administration and operations of the Business Development, Communications and Marketing Department
Collaborate with other departments to coordinate internal and external calendars
Work closely with professionals and support staff across the organization to manage client development expense requests, implementing a consistent and operationalized approach
Schedule and attend full department meetings and support coordination between business professional teams
Project and Initiative Tracking
Support and track advancement of department and Firm initiatives
Schedule meetings with the stakeholders; support agenda development; prep materials; take notes and circulate next steps
Maintain a list of ongoing projects and status of those projects for ongoing evaluation by the Marketing Leadership team
Ensure response and approval for travel and other budget requests to the Marketing Leadership Team
Process and submit invoices and budget codes for client development and other expenses
Work closely with Accounting to ensure the proper coding of client development expenses and other budgets managed by the Marketing Leadership Team
Excellent Excel skills and ability to support development of budgets for various projects and initiatives
Bachelor's degree or better from an accredited college/university
3+ years of experience in a professional services firm - legal, consulting or accounting
Relationship builder with strong interpersonal skills who can work across teams to drive business results; ability to "manage up"
Computer and tech savvy with knowledge of marketing tools a plus
Computer skills in Microsoft Office applications and proficiency in word processing, spreadsheets, databases and presentations
Project management skills and ability to juggle and adjust to multiple competing priorities
Positive, can-do, team-oriented attitude
Highly organized with exceptional attention to detail, excellent problem-solving skills, a results-focused approach and outstanding project management skills. Position requires constant attention to precise details and accuracy of specified standards.
Work in-office three days per week (Tuesday, Wednesday and Thursday) and more as needed; willing to work overtime and weekends as needed
Able to complete all duties with a superior quality and service focus through teamwork, dedication, and a results-oriented, solid work ethic.
