Our team is seeking an Accounts Payable Specialist for our Rancho Cordova, CA headquarters office.
The Accounts Payable Specialist compiles, records, verifies, and maintains Accounts Payable data; responsible for inputting vendor invoices and paying vendors timely while taking all reasonable prompt payment discounts. Responsibilities include:
Processes A/P invoices and receiving reports; enters invoice information into LAC system; matches payments with invoices; contacts vendors for missing invoices
Monitors the accounting email inbox to provide prompt processing and response.
Inputs expense invoices in QuickBooks, allocating to correct departments, and verifying approval by department managers.
Enters bills in QB for expenses paid by company credit cards, collects expense details, reconciles the monthly statement, researches, and resolves issues and processes the payments online.
Processes freight bills (UPS, XPO, UPS Freight, FedEx), timely, reviews for accuracy, investigates and reconciles variances.
Prepares Accounts Payable checks, paying invoices according to payment terms, taking all reasonable prompt payment discounts and maximizing extended terms with vendors.
Sends out monthly rebates and tracings reports to vendors
Assists with entering vendor credit memos for rebates and returned or shorted goods
Reconciles Accounts Payable statements and resolves discrepancies.
Who Are You?
The successful candidate will meet the following qualifications:
Bachelor’s Degree in accounting or Business
5+ years of progressive accounting experience preferred
Proficiency in Microsoft Office Suite
Experience with QuickBooks preferred
Ability to use a computer, printers, scanners, copiers, multi-use telephone, fax machine, envelope stuffer and postage meter
Detail oriented and comfortable working in a fast-paced office environment
Superior organization skills and dedication to completing projects in a timely manner
Ability to maintain confidentiality and exercise good judgement
Exceptional communication skills in person, on the phone and in written correspondence
Work effectively in a team environment
Listens and follows direction
Works with limited supervision
Problem solving skills to ensure the resolution of any issues with vendors, customers and staff
Exhibit effective time management and organizational skills; ability to adapt to changing priorities and take initiative.
Demonstrate excellent oral and written communication, excellent attention to detail.
Strong interpersonal skills including the ability to negotiate and interact with people at all levels in an organization, including company customers and prospects, and vendors and manufacturers.
